Permissions & Roles

DMS respects WordPress user roles. Every DMS screen and action is tied to a permission, so what a user can see and do depends on the role they've been given. This lets you give a sales person access to listings and leads without exposing billing or settings.

How it works

Each capability below can be granted to a role. If a user's role lacks a capability, the matching menu item simply doesn't appear for them, and the action is blocked. Assign roles in the usual WordPress way (or however your site was set up).

What the permissions cover

Permissions generally come in view / manage / delete sets for each area, so you can let someone look without letting them change or remove.

Area Lets a user...
Inventory View and delete listings.
Categories & Terms View, manage, and delete categories and their terms.
Statuses View, manage, and delete listing statuses.
Groups View, manage, and delete listing groups.
Badges View, manage, and delete badges.
Templates View, manage, and delete the Search Results Page, Search Result Item, and Vehicle Details Page (SRP/SRI/VDP) templates.
Imports / Exports View, manage, and delete imports and exports.
Leads View all leads, or only their own; manage and delete leads.
Settings Manage global settings, and manage per-type settings.
Dashboard, Types, Extensions, Help, Support, Status, Billing View each of these top-level areas.

Tip

The view own leads vs view all leads split is useful for sales teams - each rep sees their own inquiries while a manager sees everything.

Practical setups

  • Inventory manager - view/manage listings, categories, statuses, badges, imports; no billing or settings.
  • Sales rep - view own leads and inventory; no configuration areas.
  • Administrator - everything, including settings and billing.

If someone can't reach a screen this documentation describes, it's almost always a missing permission - adjust their role.
